Zoom Cloud Storage Retention

June 22, 2021

Hello Zoom Users,

We have an immediate need for Zoom users to move existing cloud recordings from Zoom’s cloud to a Microsoft OneDrive account. There is a limited amount of Cloud Storage and we need everyone’s participation.

What will happen?

UMB will apply a Cloud Storage retention policy to all zoom accounts.  Effective July 1, 2021, the retention will be set to 365 days.  Therefore, all recordings that started prior to July 1, 2020, (1 year ago), will be deleted and moved to your Zoom trash. Those recordings will remain in your trash for 30 days and will then be permanently deleted.

  1. Proactive Approach (Strongly recommended) – You should follow the Zoom Recording Guide and begin moving your cloud recordings to your Microsoft OneDrive account. Please do so on or before June 30, 2021, to avoid the need to restore important recordings.
  2. On or after July 1, 2021 – All recordings older than 365 days will be moved to your Zoom cloud trash.
    • Note:  You have 30 days to move recordings from your Zoom Trash before they are permanently deleted from Zoom’s Cloud storage.
    • Getting files from the Trash:  Login to https://umaryland.zoom.us, Click on Recordings, Click on Trash (right side next to Delete All)
    •  You can restore any recording and quickly (same day) move the file(s) to your OneDrive to avoid the retention policy from being applied again.
  3. Shared Cloud Recording Links on UMB’s website or other platforms (Facebook, Twitter or YouTube) —  Please think about your Zoom Recording experience. Have you provided or shared a Cloud recording link for a website posting or social media platform?   If so, please send the Website Administrator the original files (MP4 files) or remove references to any links on public sites. If the Cloud Recording was recorded more than 365 days ago, the link will stop working once the retention schedule is set.

If you have important Zoom recordings or would like to simply keep them, please follow the attached one-page instruction sheet before the July 1, 2021, deadline. Please contact our helpdesk at 410-706-4357 for additional questions or assistance. Feel free to check our website for future updates.
