International Travel

All travelers must sign up for the UMB International Travel UMB International Travel registry before starting any business travel abroad. They also need to provide up-to-date emergency contact information on the Travel Request form. The Global Hub can help with planning, security, and more, visit the Global Hub. Currency Exchange

If the receipt or bank statement does not show the transaction in U.S. dollars, the traveler must convert the amount spent to U.S. dollars.

  • Use OANDA to convert the foreign currency amount to U.S. dollars.
  • Because exchange rates change daily, each transaction date must be converted. For example, expenditures in Euros for a three-day trip must be converted for each day of the trip. 
  • Indicate the exchange rate used on the receipts for each day of the trip.

How find the Foreign Per Diem Rates

  1. Click Foreign Per Diem Rates by Location.
  2. Enter the destination country.
  3. Locate the destination city. (Make sure that you use the correct time range. Some cities have different seasonal rates.)
  4. Make note of the M&IE Rate.
  5. Click FTR 301, Appendix B (Breakdown of Foreign Meals/Incidentals Portion).
  6. Locate the M&IE Rate and find the corresponding Incidentals amount.
  7. Subtract the Incidentals amount from the total M&IE Rate to determine the Meal Rate.
  8. The FTR 301, Appendix B also shows the breakdown by meal period.

Example

Joe Simpson, a UMB Radiology employee, needs to attend a three-day radiology workshop in London from June 4 to June 6. The conference fee is $1,200, and breakfast and lunch are provided. Joe leaves from BWI Airport on June 3 and returns on June 7.

Workshop Details:

  • Dates: June 4–June 6 (Monday–Wednesday)
  • Time: 8 a.m.–5 p.m. each day

Reimbursement Eligibility (Trip Ending June 7):

  • Airfare: Roundtrip from Baltimore to London, departing June 3 and returning June 7
  • Mileage: To BWI on June 3
  • Per Diem: 75% of daily per diem for June 3 (day of departure), based on London's M&IE rate of $191, less incidentals ($153), 75% = $114.75
  • Lodging: Standard lodging for June 3–June 7 (departing on June 7)
  • Meals: Dinner per diem for June 4–June 6
  • Transportation: From London airport to hotel and from hotel back to the airport
  • Parking: BWI parking from June 3–June 7 (not to exceed the daily rate)
  • Return Mileage: From BWI to home on June 7

Joe Extends Trip for Sightseeing (June 7–June 10 in Paris)

If Joe extends his trip for sightseeing in Paris, he is eligible for the same reimbursements as above, with the following adjustments:

Reimbursement Eligibility (Trip Ending June 10):

  • Airfare: Roundtrip from Baltimore to London, departing June 3 and returning June 10
  • Mileage: To BWI on June 3
  • Per Diem: 75% of daily per diem for June 3, based on London's M&IE rate ($114.75)
  • Lodging: Standard lodging in London for June 3–June 7 (departing June 7)
  • Meals: Dinner per diem for June 4–June 6
  • Transportation: From London airport to hotel and hotel to airport
  • Parking: BWI parking from June 3–June 10 (not to exceed the daily rate)
  • Return Mileage: From BWI to home

Notes:

  • Joe is not eligible for transportation to Paris, lodging from June 7–9, or meals in Paris.
  • If Joe flies back from Paris, UMB reimburses the lesser of either a roundtrip from Baltimore to London or a one-way ticket to London plus a one-way ticket from Paris.
