General Questions

Does my school/department have to use Taleo?

Yes. Taleo is the new campus recruiting system that will be used for all faculty, staff, and student employment opportunities.

Is the current process still in place to request that a job be posted? 

Taleo allows for increased automation. Some forms and processes have been eliminated or changed.

What is the best way to learn the Taleo system?

It depends on your role. If are an initiator, hiring manager, or hiring manager assistant, you should register for a class. If you are a collaborator, you can access the link for an online tutorial here.

Do all hiring manager have to go through training?

To gain direct access into Taleo, users should participate in training. If it is not feasible for all hiring managers, a department or unit can designate selected individuals to receive training and manage the process on behalf of the larger team.

How do I know which role I should be?

Staff Initiator

Initiates requisitions for staff positions within the department and enters requisitions into approval workflow. This role can create and edit requisitions that have not been approved. Permission also is granted to place a requisition on hold and duplicate requisitions. This role can see closed (filled and canceled) requisitions. This role does not have access to view candidates who may apply to the positions.

Staff Hiring Manger

This role has the same permission as the staff initiator, and they can see the candidates who apply to the positions.

Deans Office

Final departmental approver before the position is sent to staffing for posting; can view all open requisitions in assigned department(s).

Collaborator

Has view-only access to requisitions they have been assigned to (example: Search Committee Members).

 

Completing the Requisition

Is the position requisition process different?

Yes and no. The questions are the same from the Job description questionnaire; that has not changed. In Taleo, new functionality allows for virtual approval. A “wet” signature is no longer required.

Can I upload attachments such as an organizational chart?

Yes. Taleo will accept most common forms of attachments (Word documents, Excel spreadsheets, PDFs, etc.).

Why do we need the Start time and End time in the requisition?

Start and end times appear in the offer letter; however, they are not posted on the external or internal posting

What is the difference between Internal Posting and External Posting?

They will be the same at UMB. Some organizations have an intranet that requires a modified job posting for internal candidates.

Can you use one requisition for multiple similar positions?

Yes.

How will I be notified that I need to approve a requisition or I have applicants available for me to see? 

You will receive an email with a link to the action.

For candidate management, do we have to still use the referral selection form?

No. The referral selection process is embedded in the candidate management workflow; however, the hiring manager will have to disposition every candidate.

How can we share the list of candidates and their hiring status with external folks from the department?

Work with your staffing specialists to assign a view-only role to those candidates

Can a disposition code be changed for a candidate?

Yes. This can be done at any time while the recruitment is still active.

Can I customize the offer letter?

Your staffing specialist can assist with formatting, but the text must remain consistent. It has been reviewed by HRS and University counsel for accuracy.
