The Kuali Research Employee look-up ("Persons") automatically includes persons paid through UMB payroll. It also includes affiliates, students, residents, and others who have requested Kuali access (see instructions below). A person must appear in the Employee look-up in KR to be a PI on a proposal and certify the proposal.

The Employee look-up is updated daily from a feed from HR. KR data generally matches what is in the Campus Directory. Updates can sometimes be made via the myUMB Portal Self-Service function.

In the Employee look-up, limit your search to UMB employees by entering 02 in the Campus Code field (toward the bottom of the search window, just above the “Continue” button). Check the email address and unit to verify that you have selected the right person.

Updating/Correcting Employee Data

The information in KR comes from HR.

Name:  A "preferred name" can be set up to populate KR.  Preferred name instructions

Title:  The person should go to the myUMB portal, find the card labeled “Self-Service”, and select “My Employee/Affiliate Info” to update their Functional Title.

Degree:  If degree information does not populate in the proposal's Person Details, complete and submit the Request to Add Degree Information to a KR User Profile (UMB log-in required). You can use one Request form to have degrees added for multiple investigators.

This instruction applies to:

  • New faculty who are not yet on campus but who need to route transferring or new proposals for submission at UMB. 
  • A student, postdoc, or UMMS resident who will be the PI on a proposal (e.g., a fellowship application). 
  • Faculty or others no longer on payroll (volunteer adjunct, emeritus, etc) who still need to certify on a proposal or otherwise access KR
