Memo sent to RAC 8/22/2024

Good afternoon, RAC colleagues,

Several new Kuali Research and Kuali Build updates were mentioned at yesterday’s SPA-SPAC Update meeting.

Kuali Research Proposals: add three placeholders in the Internal Attachments.

Save a blank/placeholder document to PDF and upload in the KR Proposal Attachments > Internal Attachments.  Please mark all as FINAL.  The placeholders can then be replaced by you or by SPA as needed without interrupting the routing workflow.

Kuali Build Subaward Request:  federal contract compliance fields.

This will affect awards that are not grants or cooperative agreements. If the award/prime award is an R01 or a U54 (for example), this does not apply to you.  When you use the KR Award look-up, the Description column will say “Contract”. 

If the Award or Prime Award is a contract from a federal sponsor, check yes on the question, and upload the approval for your subaward. Specific approval – usually a Contracting Officer's Authorization (“COA”) – is required even when the subaward was part of the approved contract proposal.

In the Questions section, complete the Sole Source Justification paragraph or upload a justification.  Further explanation and examples are on our new webpage, Sole Source Justification FAQ.

Kuali Build Award Modification, NCE Request, and Subaward Request:  Distribution List (DL) email/Shared email field.

If you would like SPA or CCT to include your distribution list (DL) or shared email on correspondence about the action, enter it in the new field. This does NOT affect workflow emails. Kuali Build notifications will still go to individuals. You should be able to set up an auto-forwarding rule in Outlook if your KB notifications need to go to the DL/Shared email.

Kuali Build Award Modification and NCE Request:  Sponsor Contact name and email.

We need to know how to contact the sponsor with questions or to return signed documents! The Subaward Request already includes these fields which have now been added to the other forms.
